A free afternoon on a trip with no free evenings

A large share of the afternoons arranged here belong to people whose evenings were decided by somebody else weeks before they landed. For them the middle of the day is the only gap there is.

There is a kind of trip that the whole of this trade writes around and almost never writes about. Four days in Amsterdam, arriving on a Monday evening, leaving on a Friday morning. Monday night is a dinner with the local team. Tuesday is clients. Wednesday is the thing with the whole group that somebody booked in March. Thursday is the one where you have to speak. Every evening accounted for, none of them by you.

On a trip like that, the question is not whether the afternoon is better than the evening. There is no evening to compare it against.

Where the gap actually sits

It is usually narrower than it looks from the diary and it is usually in the same place: the stretch between the last morning commitment and whatever time you have to be presentable for the evening one. In practice that means roughly one to five, and the usable part of it is two to four, because an hour at either end goes on travel, changing and the business of getting back into the day.

Two hours is a workable booking. It is enough for ninety minutes with a margin at both ends, which is the shape most guests on this kind of trip settle into. Three hours is possible if the evening starts late and the morning ended early, and it is worth asking about, because three hours is easy to place in an afternoon in a way it never is in an evening.

Book it on the first day

This is the practical advice that matters most and it is the one people ignore. The afternoons of a working week fill from the front. On Monday there is a genuine choice of names for Tuesday and Wednesday. By Wednesday afternoon, asking about Thursday, the choice has narrowed considerably, and the guest who waited has usually ended up moving either the name or the hour.

There is a second reason to write early. A booking arranged more than twenty-four hours ahead asks for half of the figure first, and dealing with that from a hotel desk on Monday evening is a great deal easier than dealing with it from the back of a car at half past one on Thursday. An unsettled half is an unconfirmed booking, and the last place you want to discover that is on the way back to the room.

Placing it so the day survives

Leave a real gap on either side. The failure mode on a working trip is not the booking, it is the meeting that runs twenty minutes over, and an hour that starts twenty minutes late against a hard stop at four is an hour nobody enjoys. If the morning has a hard finish, build from that rather than from the diary as written.

And handle the room in the morning, before anything else happens. The sign goes on the handle at eight, and either the round comes early or you ask the desk to skip the room. By one o'clock you will have other things on your mind.

What it looks like afterwards

Nothing, which is the point. You are back in a lobby at four, showered, with an evening ahead that you did not choose and now do not mind. The trip has not been rearranged, nobody has been let down, and the one stretch of the week that actually belonged to you was used for something rather than spent in a room answering messages.

That is the whole case for the afternoon on a trip of this kind, and it is not really an argument about hours at all. It is an argument about which parts of a week are yours.

The version with a colleague in the next room

On a trip where the team is spread across the same building, guests sometimes decide the whole idea is impossible. It rarely is, and the reasoning that makes it possible is the same reasoning that makes daylight work at all. At two in the afternoon everybody else is out, which is the one thing that is reliably true of a working trip and the one hour of the day when it is true.

The corridor at nine in the evening has four people from your own company in it. The corridor at two in the afternoon has a cleaning trolley and nobody who knows you. If the fear is being seen by somebody you will be sitting next to at dinner, the afternoon is not the riskier option; it is the only one that solves the problem.
